Job Title: Executive Assistant 
Reports To: Senior Vice President, Operations & Communications
Location: Nashville, TN (in-office position) 
Compensation: $22.00/hr. - $25.00/hr.

Job Responsibilities/Duties:

  • Provide administrative support to the Senior Vice President, Operations & Communications and Executive Director/CEO with duties including answering phones, scheduling/calendar management, organizing travel and itineraries, as well as answering general Foundation inquiries and forwarding on to appropriate parties.
  • Log new accounts, contacts and notes in Salesforce CRM for the executive leadership team.
  • Run general/pre-built reports in Salesforce CRM for RSF staff.
  • Execute quarterly data health checks in Salesforce, under the supervision of the Creative Manager.
  • Maintain active hospital partner rosters.
  • Maintain and respond to the Foundation’s general contact email inbox, providing timely and professional communication.
  • Expense / invoice processing responsibilities including monthly AMEX, expense reimbursement, check deposits and receipt organization.
  • Support all executive staff with Foundation events, including studio openings, internal board meetings and summits.
  • Assist with internal/external meeting preparation including conference room and audio-visual setup. Help prep all corresponding collateral materials and agendas. Take detailed minutes
  • Initial point of contact to maintain all office technical support (IT, phones, internet service), working with IT contractor support to assist, when necessary.
  • Office Management duties including working with Building Management to fix office related issues, stocking business + kitchen supplies, along with maintaining storage closet organization.
  • Assist with the ordering and inventory management of swag and promotional items.
  • Other duties and special projects as assigned.

Required/Preferred Skills & Experience: 

  • 2+ years’ experience as an administrative assistant.
  • Ability to work in a fast-paced environment.
  • Strong organizational skills and the ability to pay close attention to detail while handling multiple, simultaneous projects under deadline pressure with exceptional follow-through.
  • Exceptional analytical, written, and verbal communication skills
  • Strong proficiency in MS Office, including Excel & Word (mail merges), preferably some level of experience with Canva
  • Experience working with Salesforce or another equivalent CRM tool.
  • Must be a self-starter, take the initiative, and be assertive in anticipating the needs of an Executive.
  • Bachelor’s degree
