Job Title: Executive Assistant
Reports To: Senior Vice President, Operations
Location:
Nashville, TN (in-office position)
Job Responsibilities/Duties:
- Provide administrative support to the Senior Vice President, Operations and Executive Director/CEO with duties including answering phones, scheduling/calendar management, organizing travel and itineraries, as well as answering general Foundation inquiries and forwarding on to appropriate parties.
- Assist with Salesforce CRM database maintenance, including understanding what it tracks, general data entry and how it is organized.
- Maintain active hospital partner rosters.
- Assist with both monetary and in-kind donation receipts and send thank you letters.
- Organize, track, and distribute, In-kind donations.
- Expense / invoice processing responsibilities including monthly AMEX, expense reimbursement, check deposits and receipt organization.
- Support all executive staff with planning Foundation events, including studio openings, internal board meetings and summits.
- Assist with internal/external meeting preparation including conference room and audio-visual setup. Help prep all corresponding collateral materials and agendas. Take detailed minutes notes.
- Initial point of contact to maintain all office technical support (IT, phones, internet service), working with IT contractor support to assist, when necessary.
- Assisting with the intake of technical support related issues and equipment requests from Seacrest Studio locations and forwarding to contracted support engineer.
- Office Management duties including working with Building Management to fix office related issues, stocking business + kitchen supplies, along with maintaining storage closet organization.
- Assisting with paperwork related to the registration for tax exemptions.
- Other duties and special projects as assigned.
Required/Preferred Skills & Experience:
- 2+ years experience as an administrative assistant.
- Ability to work in a fast-paced environment.
- Strong organizational skills and the ability to pay close attention to detail while handling multiple, simultaneous projects under deadline pressure with exceptional follow-through.
- Exceptional analytical, written, and verbal communication skills
- Strong proficiency in MS Office, including Excel & PowerPoint required, preferably some level of experience with Canva and/or Adobe Creative Suite.
- Experience working with Salesforce or another equivalent CRM tool.
- Must be a self-starter, take the initiative, and be assertive in anticipating the needs of an Executive.
- Bachelors Degree
