Job Summary:
The Ryan Seacrest Foundation (RSF) is seeking a dedicated and dynamic Talent Coordinator to join our Nashville-based team. This full-time role offers a unique opportunity to support our Manager of Entertainment Relations and Engagement, contributing directly to RSF’s mission of inspiring pediatric patients through entertainment and education-focused initiatives. The ideal candidate is detail-oriented, proactive, and passionate about relationship-building, with a strong interest in talent engagement and project management.
Key Responsibilities
- Collaborate closely with the RSF Manager of Entertainment Relations and Engagement to research and identify new talent opportunities and industry partnerships.
- Assist in prepping and cross-checking tour schedules and studio locations to streamline outreach and booking efforts. Provide updates to studio teams, as needed, to internal booking calendar.
- Serve as the main point of contact for coordinating visits from national touring groups (e.g., Harlem Globetrotters, Disney on Ice, Monster Jam).
- Schedule and manage talent visit calendar appointments in coordination with internal PR and studio teams.
- Oversee visit logistics, including communication with studio and talent teams, content approvals, and donation coordination.
- Gather post-visit feedback and add any pertinent information into Salesforce CRM.
- Assist with stewardship initiatives such as thank-you gifts and celebration cards for key talent relationships.
- Act as the primary liaison for asset distribution and approval processes following talent visits
- Collaborate with the RSF Creative Manager to plan, coordinate, and schedule celebrity content across social media platforms
- Track all talent visits, in-kind donations and notes in Salesforce, ensuring accurate CRM data management.
- Assist the RSF Manager of Entertainment Relations and Engagement with preparing documents and presentations for the Industry Advisor committee and additional offsite meetings with key stakeholders.
- Collect and document impact stories following talent visits to Seacrest Studios by liaising between the studio and talent teams for annual report.
- Provide support on special events and projects, including studio openings, summits, and fundraisers.
Qualifications:
- Bachelor’s degree or equivalent experience in nonprofit management, communications, public relations, or a related field.
- 3+ years of experience, preferably in a logistics forward / talent interfacing position (i.e. talent agency, artist management, PR firm, record label etc.)
- Excellent written and verbal communication skills.
- Strong organizational and multitasking abilities with attention to detail.
- Comfortable working in a collaborative, fast-paced environment.
- Familiarity with CRM systems, particularly Salesforce, is a plus.
- Passion for youth empowerment, creative media, and the mission of RSF.
